Getting started

A leasing company on PoolCar lists its fleet for businesses, retail customers, and corporate clients. Setup is free and takes under a day from sign-up to first listing.

Create your leasing-co account

Sign up, fill in your organization name, contact details, and operating cities. No subscription, no listing fee — you only pay when you earn.

Verify your business

Add your bank account and BVN through Paystack so we can send you payouts. Verification is one-time and required before payouts can flow.

Build your team

Invite owners, ops staff, and finance — each with the right role. Owners control settings; staff manage day-to-day bookings, drivers, and vehicles.

Listing your fleet

Vehicles are the core of your listing. You control everything — what they look like, how they're priced, where they operate, who can book them.

Add vehicles one by one

Make, model, registration, year, capacity, photos. Add multiple photos and we'll show them in a gallery on the storefront and marketplace.

CSV bulk import

Got 200 vehicles? Upload a CSV and we'll create them all. Same for drivers. Errors are reported per-row so nothing silently fails.

AI image clean-up

Optionally turn on background removal so every vehicle photo gets a consistent, clean white background — without you using Photoshop.

Per-vehicle settings

Hourly rate, operating hours and days, minimum bookable hours, cities the vehicle covers, marketplace and retail visibility — all per vehicle.

Cities and coverage

You decide where your vehicles run. Cities are the unit of geographic control on PoolCar — for the marketplace, retail, and the corporate-clients module.

Operating cities

List the cities you serve. Vehicles can be assigned to one or more, and customers can filter by city when browsing.

Multi-city operations

A vehicle can be available in Lagos one month and Abuja the next. Update its city assignment when you reposition fleet.

Drivers

PoolCar gives drivers their own portal — passcode-only login, schedule view, route preview on a map, and one-tap trip confirmation. You control which drivers see which vehicles.

Add drivers

Phone number, name, photo, license details. We mint them a passcode they use to sign in to the driver portal — no email needed.

Assign drivers to vehicles

A driver can be assigned to one or many vehicles. They'll see only the trips for vehicles assigned to them, today and tomorrow.

Trip oversight

See every trip your drivers handle — start time, end time, distance, status. Full audit trail tied to driver attestation.

Branded retail storefront

Toggle a vehicle for retail and it goes live on your subdomain — `<your-slug>.poolcar.work` — fully branded, with email-OTP customer login and self-serve booking.

Your subdomain

Pick your slug, upload your logo, set your brand color. Wildcard TLS handled, no DNS work on your end. The page is yours, not ours.

Per-vehicle retail toggle

Choose which vehicles are visible on the public storefront. Run B2B-only, retail-only, or both per vehicle — your call.

Customer accounts

Customers sign in with email-OTP — no password fatigue. They get a self-service portal at /account where they manage their own bookings.

Bookings and operations

Every booking from every channel — marketplace, retail, corporate, ETS — flows into one schedule. One calendar to operate from.

Unified fleet calendar

Every booking, every channel, every vehicle, in one place. Filter by city, vehicle, driver, or booking source.

Booking detail and audit

Drill into any booking — pickup, dropoff, customer, driver assigned, status, audit log of every change since the booking was created.

Reassign and reschedule

If a vehicle goes off-road or a driver calls in sick, swap them with two clicks. The customer is notified automatically.

Corporate clients and ETS

Optional modules: sell employee transport (fixed weekly shuttle routes) and direct B2B leasing arrangements outside the marketplace, all on the same platform.

Direct B2B clients

Some businesses prefer a direct lease with you, not a marketplace transaction. Add them as corporate clients and bill them on consolidated PDF invoices.

ETS — Employee Transport Service

Run fixed weekly shuttle routes for client employees. Routes have stops, schedules, vehicles, and drivers. Each scheduled day blocks the assigned vehicle automatically.

Subscription billing

ETS clients are billed monthly based on staff-count tiers. Subscription invoices generated automatically and sent for payment.

Revenue, invoices, and payouts

You see what came in, where it came from, and when it lands in your bank account. Every transaction is reconciled automatically.

Revenue dashboards

Per-vehicle, per-period, per-driver. Net of platform take rates, with payout reconciliation. Filter by 7 days, 30 days, year-to-date, or a custom range.

Server-rendered invoices

Every customer transaction generates a PDF invoice — emailed to the customer, downloadable in your portal, formatted with your branding.

Recurring payouts

Settled bookings flow into payouts via Paystack transfers to your verified Nigerian bank account on a recurring schedule. No manual claiming required.

Payment reconciliation

A 15-minute sweep job catches stuck payments and stuck refunds, advances payouts, and keeps your books straight without manual intervention.
