Documentation For drivers

Drive the trip.
The portal handles the rest.

The driver portal is the simplest part of PoolCar — and that's intentional. You sign in with a passcode, see your trips for today and tomorrow, follow the route on a map, and tap two buttons. No paperwork, no app, no headaches.

Signing in

The driver portal is built for drivers — not admins. No email, no password, no app to install. You sign in with a passcode your leasing company gives you, on any phone with a browser.

01 / 05

Passcode-only login

Your leasing company creates your account and sends you a passcode. Type it on the driver login page; that's it. No email, no password to forget.

Works on any phone

Open the driver portal in any browser — Android, iPhone, basic phone with a browser. No app store, no install. Add it to your home screen if you like.

Stay signed in

Your session stays active so you don't re-enter your passcode every shift. Sign out from the menu when you hand the phone over.

Your schedule

When you sign in, you see today's and tomorrow's trips for any vehicle you're assigned to. Everything you need is on one screen.

02 / 05

Today and tomorrow

A clear list of upcoming trips, sorted by start time. Each card shows the customer, pickup, dropoff, vehicle, and trip status.

New-trip notifications

When a new trip is assigned to you, you get an email. Check the portal for the latest list whenever you want — it's always live.

Trip details

Tap any trip to see the customer's name and contact number, full pickup and dropoff addresses, expected duration, and special notes from the booker.

Route preview and navigation

Before you leave, you see the trip on a map. No more squinting at addresses on a notepad — pickup, dropoff, and the route are right there.

03 / 05

Map preview

A clean map (powered by OpenStreetMap) shows pickup pin, dropoff pin, and the route between them. Pinch and pan to look around the area before you leave.

Geocoded addresses

Addresses come from Google Places or OpenStreetMap, geocoded for accuracy. If a customer typed a landmark, you see the resolved location.

Vehicle assignment

Each trip shows the vehicle you're driving. If you handle multiple vehicles, the assignment is clear so you take the right keys.

Driving the trip

PoolCar's audit trail is grounded in your attestation that the trip happened. Two taps — Start and End — and the trip is recorded.

04 / 05

Tap Start at pickup

When you reach the customer and they're in the car, tap Start Trip. The booking moves to "in progress" and everyone watching sees it live.

Tap End at dropoff

When the customer is dropped off, tap End Trip. The booking moves to "completed" and the time is locked into the audit trail.

Notes (optional)

Add a quick note if anything unusual happened — traffic delay, route change, customer no-show. Your leasing company sees it on the trip detail.

ETS shuttle routes

If your leasing company runs Employee Transport Service routes, you may be assigned to a shuttle. The flow is similar but a bit different — fixed schedule, multiple stops, employee check-ins.

05 / 05

Fixed weekly schedule

A shuttle route runs the same days and times each week. Your portal shows the day's execution: which stops, when, in what order.

Stops and seats

Each stop shows the employees expected to board there. You see names so you know who to wait for and who has already been picked up.

Employee QR check-in

Employees show their permanent QR. You scan it to confirm boarding. The check-in flows back into the corporate client's attendance report.

Need a passcode?

Your leasing company creates your driver account and sends you the passcode. If you've lost it, ask them to issue a new one — they can do it in seconds from their portal.
