You and the leasing company agree to terms outside the marketplace. They add you as a corporate client and bill you directly. PoolCar runs the operations.

Getting set up

Your leasing-company partner is the one who creates your corporate-client account. They invite you to a portal where you and your team can manage day-to-day operations.

Email-OTP login

You sign in to the corporate-client portal with your email and a one-time code. No passwords to manage; no account creation forms to fill in.

Admin team

Your leasing-company partner can add multiple admins on your side — finance, ops, HR — each with their own email login.

Your business profile

Your business name, address, billing contact, and any specific terms agreed with the leasing company are configured at setup. Updates happen through your account manager.

Day-to-day operations

You manage your fleet allocation through your portal — see vehicles, see active bookings, run reports — without dealing with the marketplace flow.

Reserved vehicles

See every vehicle currently leased to your company, with the period, hours allocated, and hours used so far. Renew or adjust through your account manager.

Booking calendar

A unified view of all your bookings — by date, vehicle, or staff. Filter by status to see what's upcoming, in progress, or completed.

Audit trail

Every booking, change, and trip is logged. Useful for finance reconciliation, internal disputes, and quarterly reviews.

Notifications

Booking confirmations, schedule updates, and trip status changes flow to the right people on your team automatically.

Billing and invoices

Corporate billing is consolidated — one invoice per period covering everything you used, with a clean line breakdown for finance.

Consolidated PDF invoices

Every billing period generates a single PDF with all activity — vehicles, hours, drivers, any pass-through costs — line-itemized for review.

Custom payment terms

Terms — net 7, net 30, advance, or otherwise — are agreed with the leasing company at the start. PoolCar honors what they configure on your account.

Multiple payment paths

Pay through Paystack hosted checkout, bank transfer, or whatever your leasing partner accepts. Receipts are uploaded back into the portal as a paper trail.
